Policy

Thank you for your interest in our catering services. We look forward to being a part of your event. The following information will be helpful in planning your function.

To serve you in the best possible manner, please follow the lead times on the catering website for any catered function to guarantee your specific order and time. Because good things take time, please give us at least 24 business hours to successfully fulfill your event needs. Every effort will be made to accommodate your last-minute requests.

If possible, orders made with less than 24 business hours lead will be accommodated, but an additional fee may be added for last-minute accommodations.

Flowers, linen, and china service are available by request and at an additional charge.

Our regular catering hours are from 7:00 a.m. to 7:00 p.m. Late afternoon, evening and weekend functions are available but may have an additional labor charge. Campus and Community events are often after-hours and weekends.

The first step to submitting an order is to schedule a location. Call Facilities & Events at 307-778-1322 or Email either Mellissa Gallant mgallant@lccc.wy.edu or Arlene Lester-Carlson ALester@lccc.wy.edu to schedule a campus location. The Event Reference Number is required for on-site catering orders.

If you have moved a catered event from one location to another, please alert us to the exact new location to avoid confusion and unnecessary charges.

Modifying your order

You can modify your order on the catering website up to the order lead time for that menu. After that time, modifications to orders must be called in to the catering manager.

Cancellation Policy

To avoid being charged, cancellations or changes to catering orders must be made up to the lead time indicated for that menu.

Substitutions

We reserve the right to vary menu selections when necessary to meet market conditions.

Booking/Planning an Event

Contact the catering office at least 10 days before the event at (307) 778-1339, by emailing us at LCCCDiningServices@lccc.wy.edu, or stop by our office located in the College Community Center.

Some arrangements can be made by phone, email or on-line, others may require an appointment with our Sales coordinator/Event Planner. This is the time for a thorough discussion of all specifics and details. We can help you make all the necessary decisions and to determine which of our services best fit your needs.

Our new on-line catering access adds convenience and control. To get started with the on-line ordering you may give us a call and we can walk through the process or you may go to our website address and On-line menus, accessible from your desktop, make ordering easier than ever. Our on-line catering programs allow guests to save and review order history, place recurring orders and favorites without re-keying and provides documentation for every step of the process.

The office hours are Monday through Friday, 8 AM to 4PM. We are closed on some holidays.

Event Confirmation and Guarantees

After we have finalized all the details for your special event, you will receive a confirmation sheet to be signed and sent back to us. We ask that you ensure that we have this signed guarantee 10 business days before your catered event. This confirmation and guarantee will include the exact times, location, attendance, menu choices and room setup.

Payment

For on-campus orders with a budget number we will bill directly but you must provide your budget number and department. For all other orders you can pay at the time of pick-up at the front register with either Credit Card, Debit Card, or our new GET APP.

Changing/Cancelling an Event

All cancellations and final changes must take place at least 5 business days before your function. If you do not contact us with a final count within 5 business days allowed, we will prepare for the estimated number and charge accordingly. If you cancel or change an event after this deadline, some of the expenses already incurred cannot be absorbed and will have to be billed.
